Privacy policy


This is the Privacy Policy of Pinpoint Indexing, a business owned and operated by me, Wendy Baskett, as a sole trader. It explains how I handle your personal information and what your rights are.

Why do I collect personal information from you?

I collect personal information from you for these purposes:
  • to communicate with you (e.g. to respond to an enquiry or during an indexing project)
  • to carry out indexing or other work for you
  • to maintain my business records

What personal information do I collect?

  • your name and contact details
  • your employer or institution if you provide this information (e.g. publisher or university) 
  • information and files you provide in relation to an indexing project
Whilst most of the personal information I process is provided to me directly by you, occasionally I may obtain information from publicly available sources, for example an address from a university website.

What do I do with your personal information?

Under the General Data Protection Regulation (GDPR), the lawful basis I rely on for processing this information is that I have a legitimate interest.
  • I keep correspondence as an aide memoire 
  • I keep financial records associated with work I do for you (e.g. copies of invoices) for at least seven years, as required by law for tax purposes
  • I will not share your personal information with third parties unless I have your permission or I am required to do so by law
  • I may contact you on occasion in future (for example, to advise of my availability for indexing or to request a testimonial). 
  • I will not contact you for ongoing marketing purposes without your consent. You may withdraw your consent for such contact at any time.

How do I store your personal information?

  • Emails are stored on a web-based email service and on my computer. They are password-protected
  • Other files are stored on my computer and backed up in cloud storage and/or external hard drive
  • Some records may also be stored as hard copy

Your data protection rights

Under data protection law you have the right:
  • to ask for a copy of your personal information
  • to amend your personal information if it is inaccurate or incomplete
  • to ask me to delete your personal information
